Refund Policy

This Refund Policy explains how CevGate, LLC ("CevGate," "we," "us," or "our") handles refunds for platform fees, transaction fees, and customer refunds processed through the CevGate platform. CevGate is a payment technology provider. We do not process payments, settle transactions, or hold merchant funds. All payment processing is performed by the merchant's connected Payment Processor.


1. CevGate Platform Fees

1.1. Integration Fee

CevGate charges a one-time integration fee of $399 for account setup, payment routing configuration, and hosted checkout deployment. The integration fee is non-refundable once the merchant account has been activated and payment processing has been configured. If CevGate is unable to complete the integration for reasons within CevGate's control, a full refund of the integration fee will be issued.

1.2. Monthly Subscription

CevGate offers monthly subscription plans at $99/month (Base) and $199/month (Premium). Monthly subscription fees are non-refundable for the current billing period. Merchants may cancel their subscription at any time and will not be charged for subsequent billing periods. There are no partial-month refunds for unused days remaining in the current billing cycle.

1.3. No Early Termination Fees

CevGate does not charge early termination fees. Merchants are free to cancel their subscription at any time without penalty. The only fees owed are those already incurred during the current billing period.


2. Transaction Fees

2.1. Per-Transaction Fees

CevGate charges a per-transaction fee (consisting of a percentage of the transaction amount plus a flat fee) on each checkout processed through the CevGate platform. Per-transaction fees are non-refundable, as they are earned at the time the transaction is processed and reflect the cost of providing the technology service for that transaction.

2.2. Separation of Fees

CevGate's per-transaction fees are separate from and in addition to any fees charged by the merchant's connected Payment Processor. CevGate has no control over Payment Processor fees, and questions regarding Payment Processor fees should be directed to the Payment Processor.


3. Customer Refunds

This section addresses refunds on purchases made by customers through a CevGate-powered checkout.

3.1. CevGate Does Not Hold Funds

CevGate is a technology provider and does not hold, control, or settle merchant funds at any point during the transaction lifecycle. All funds flow directly between the customer, the Payment Processor, and the merchant. As a result, CevGate does not process refunds directly.

3.2. Merchant-Initiated Refunds

Refunds to customers are initiated by the merchant through their connected payment account with the Payment Processor. The merchant is solely responsible for determining refund eligibility, processing refund requests, and communicating refund status to their customers in accordance with the merchant's own refund policy.

3.3. CevGate's Role in Refunds

CevGate provides technology tools within the merchant dashboard to facilitate refund requests. These tools allow merchants to initiate a refund instruction that is transmitted to the Payment Processor. However, the actual refund of funds is processed and settled by the Payment Processor, not by CevGate.

3.4. Transaction Fees on Refunded Transactions

CevGate's per-transaction fee is not refunded when a merchant issues a refund to their customer. The per-transaction fee compensates CevGate for the technology service provided at the time of the original transaction, regardless of whether the underlying transaction is later refunded.


4. Chargebacks and Disputes

4.1. Chargeback Handling

Chargebacks (transaction disputes initiated by a cardholder or issuing bank) are handled entirely by the Payment Processor and the applicable card networks. CevGate does not adjudicate, process, or resolve chargebacks, as CevGate does not hold or control merchant funds.

4.2. Merchant Responsibility

Merchants are responsible for responding to chargebacks and disputes through their payment account with the Payment Processor. Merchants should follow the dispute resolution procedures established by their Payment Processor and the applicable card networks.

4.3. Transaction Data for Dispute Resolution

CevGate provides transaction data and records through the merchant dashboard that may assist merchants in responding to chargebacks and disputes. This data includes transaction timestamps, checkout details, and other relevant information that may be useful as supporting evidence in the dispute resolution process.

4.4. Excessive Disputes and Account Suspension

If a merchant's dispute rate exceeds CevGate's platform threshold (as defined in the Terms of Service), the merchant's account may be automatically suspended and API keys revoked. In the event of suspension due to excessive disputes:

  • The merchant's monthly subscription is not automatically cancelled or refunded. The merchant remains responsible for cancelling their subscription through the merchant portal or by contacting support.
  • CevGate's per-transaction fees on transactions processed prior to suspension are non-refundable.
  • The merchant may contact support@cevgate.com to discuss account reinstatement or subscription cancellation.

4.5. Payment Processor Account Termination

If a merchant's Payment Processor account (e.g., Square) is suspended, terminated, or otherwise disabled by the Payment Processor for any reason -- including but not limited to risk review, policy violations, verification failures, or business category restrictions -- no refunds will be issued by CevGate. This includes:

  • The integration fee ($399) is non-refundable
  • Monthly subscription fees already charged are non-refundable
  • Per-transaction fees on transactions processed prior to the Payment Processor's action are non-refundable

CevGate is a technology provider and has no control over Payment Processor decisions regarding merchant account eligibility, approval, suspension, or termination. The merchant's relationship with their Payment Processor is independent of their relationship with CevGate. Merchants are solely responsible for maintaining their Payment Processor account in good standing.

If a merchant's Payment Processor account is terminated, the merchant may cancel their CevGate subscription to avoid future billing. CevGate will not continue to charge subscription fees if the merchant cancels through the merchant portal or by contacting support.


5. How to Cancel

5.1. Cancellation Methods

Merchants can cancel their CevGate subscription at any time using either of the following methods:

  • Merchant Dashboard: Navigate to Account Settings and select "Cancel Subscription" to initiate cancellation directly from your dashboard.
  • Email: Send a cancellation request to support@cevgate.com from the email address associated with your merchant account.

5.2. Cancellation Effective Date

Cancellation takes effect at the end of the current billing period. Merchants will retain access to the CevGate platform and all features until the end of the billing period for which payment has already been made.

5.3. No Partial Refunds

No refund will be issued for the remaining days in the current billing period after a cancellation request is submitted. The merchant's subscription will simply not renew for the next billing period.
